What do I need to start using Business Online?
To start using Business Online you will need
one or more Westpac business accounts or non-personal accounts  
a Business Online ID number, Login ID and password  
access to a PC/laptop with a Pentium processor running Microsoft Windows XP, Windows 2000 or higher or an Apple Macintosh running OS 9.0 or higher  
internet access with a 128-bit compatible browser  
an internet connection speed of 56 kbps or faster

What are the technical requirements for using Business Online?
You will need the right hardware and software for your computer to use Business Online.
The recommended minimum specifications are:
Processor Pentium or equivalent
Operating system Windows® 2000 or XP
(or other currently supported Microsoft® operating system)
or Apple Macintosh running OS 9.0 or higher
RAM 64MB
Browser * IE® v5.5 or higher, Netscape® v7.0x or v7.2, Firefox® v1.5 or higher, Apple Macintosh running OS 9.0 or higher
Modem 56.6 Kbps or faster connection
Internet access Connection through an ISP
Screen resolution 1024x768 pixels recommended

How long will it take to register and get started for Business Online?
An application will normally take 3 to 5 working days to process from the date of receipt, provided all information is correct.
Companies with complex signing rules or arrangements may need a few extra days to get started.
Once the application is processed
the support team will contact the administrators  
they will provide initial logon information and temporary password details  
The administrators can then
login and read and accept the terms and conditions  
change their password on their first login  
Nominated authorisers
any nominated authorisers will initially have full access to all Business Online accounts and functions  
the administrator is responsible for setting up user access restrictions before issuing authoriser or other users’ passwords

What if I forget my Business Online password?
Business Online administrators
if you have another administrator they can reset your passord or you
can call our support team for a new Business Online password  
may need to answer security questions to verify identity before a new password is issued

How do I create and authorise a two-to-sign transaction?
Any user role can create transactions but only administrators and authorisers can authorise them using Business Online.
1. Creator/viewer creates payment workflow for account requiring two-to-authorise
 
Under a two-to-authorise arrangement, payments created by a creator/viewer user will need to be authorised by two nominated authorisers before the bank will process them
2. Administrator creates payment workflow for account requiring two-to-authorise
 
Under a two-to-authorise arrangement, an administrator or authoriser can both create and complete the first stage of approval. Payments then need to be authorised by only one more authoriser before the Bank will process them.

How often do I need to change my password?
You will be required to change your password every 90 days. You will be prompted to change it.

Can I limit the amount that can be paid via Business Online in any day?
Yes; the administrator can set payment limits
at both a company-level and a user-level  
different limits can also be set for various transaction types  
For example: Company XYZ Ltd may have an overall daily transaction limit of $25,000 and a single transaction limit of $10,000.
Within this, the office manager may have a daily limit of $10,000 and a ‘per transaction limit’ of $5,000 for tax payments, and $3,000 for other payments.
User limits
can be set up and changed at any time in Business Online by an administrator

Can I cancel a payment or transfer?
Transactions to be processed today
can be cancelled at any time if not already fully authorised  
Fully authorised transactions
once status becomes ‘processed’ the payment cannot be cancelled  
Transactions scheduled for a future date
can be cancelled up to 11pm on the business day prior to the due date for processing

What is a payment template?
Payment templates
hold a list of payees, with or without a payment amount for each payee  
are useful when you have groups of payees whom you need to pay regularly  
Using the ‘Create payment template’ option
can be used instead of individually selecting payees  
you can still omit one or more payees on the template or change the payment amounts  
set up templates to make payments like wages, regular suppliers, monthly bills  
Select meaningful template names
to help when viewing the transaction list later on, or  
if you want to know which particular payee group a payment was made to

How do I delete a payee from a payment template?
From the ‘Payments’ menu option
select ‘Templates’ to open the templates list  
then select the template name that you wish to edit  
tick the check boxes for those payees that you wish to retain  
click continue  
once confirmed, payees who were not selected will be deleted from the template

What happens if I create a transaction and it’s not fully authorised until after the intended due date or processing date?
Transaction passed its intended payment date
it will automatically change to the next available processing date on full authorisation  
Transaction payment date example
a payment is created with a payment date of 20 November, but is not fully authorised until 23 November  
the payment date will automatically change to 23 November provided it is authorised before the 11pm cut-off time  
Changing original payment date
an authoriser doesn’t need to change the original payment date if it has passed  
the system will automatically change the date  
at the time of the authorisation an alert will display on the preview screen

What happens if another authoriser edits a partially authorised transaction?
If a partially authorised transaction is edited
the status of the transaction is changed from ‘partially authorised’ back to 'ready to authorise'  
the transaction will be treated like a new one—it will need to be re-approved by the required authorisers

How do I find out the payees for a single past transaction with multiple payees?
When processing a bulk payment
it will show on your transaction list and paper statement as a single transaction to ‘Multiple payees’  
if a template or import file is used to create the payment the file name will show under ‘Other party name'  
templates can be used for making bulk payments  
To view details of individual payees and amounts
select ‘Payments’ tab  
select ‘Payments list’ option  
change the default date range to include the required date  
click ‘Search’

What’s the difference between the status of ‘Processed’ or ‘Scheduled’ for a fully authorised transaction?
Transactions that are to be processed today
have a status of ‘processed’  
cannot be cancelled  
Fully-approved, future-dated transactions
have a status of ‘scheduled’  
can be cancelled up to 11pm on the day before the processing due date

What details would our creditors see under ‘Other Party Name’ when they receive a payment from us?
Your creditors will see your Business Online arrangement name as the ‘Other Party Name’ when they receive a payment from you via Business Online.
However you can change the ‘Other Party Name’ so that your creditors can either see your business Trading Name or your respective account names when you pay from these. Please contact the Business Online Helpdesk on 0800 337 522 (Monday to Friday, 8am to 8pm) to find out more

Can I use Business Online for both my personal and business accounts?
Using Business Online for personal accounts isn’t recommended
Business Online currently supports only one authorisation rule for all loaded accounts  
business accounts may need two people to authorise transactions, but personal accounts may only need one  
if these personal accounts are loaded on Business Online, all personal account transactions would need the approval of two people  
personal accounts loaded on Business Online will also be viewable and accessible by all administrators

Can I allow other people to access my Westpac accounts using Business Online?
Yes, if you have administrator rights for Business Online you can
set up account access for people in your business or third parties e.g. your accountant  
set account access and function restrictions for these users e.g. account view-only rights

How do I change the number of people required to authorise transactions in Business Online?
complete a ‘Making changes to Business Online’ form  
account owner(s) e.g. director, partner or officer for your business must sign the form  
identify any newly nominated administrators/authorisers either by them being account signatories or providing a copy of their photo ID.  
the account owner needs to return the form to a branch or fax it to the Business Online Helpdesk on

How do I add an authoriser to Business Online and also the general account signing authority?
complete a ‘making changes to Business Online’ form and the ‘making changes to accounts’ form  
account owner(s) e.g. director, partner or officer for your business must sign the forms  
identify any newly nominated administrators/authorisers either by them being account signatories or providing a copy of their photo ID.

the new signatory will also need to be present

What is the difference between single and dual administration rule?
You can select a single or dual administration rule. Dual administration requires a second administrator to authorise the following changes to user access to Business Online.
issue/reset passwords  
creating new creator/viewer users  
assigning access rights and transaction limits  
editing users details and access  
deleting users who have left the company  
By requiring a second administrator to verify any changes to users, you increase your security and decrease the risk of internal fraud. As a guideline, we recommend that if your authorisation rule requires two signatories, your administration rule should be dual administration.
If you want to change your single administration rule to dual, you will need to complete the "making changes to Business Online" form.
